Description

Job Summary:
The purpose of this role is to support Board of County Commissioner services provided by the Clerk of Court while also serving as a process improvement specialist to enhance efficiency, effectiveness, and decision-making. This position contributes to achieving board services objectives by providing technical knowledge, operational coordination, and analytical insight. It ensures the professional, technical, and administrative execution of board services, operations, business practices, workflows, and organizational performance. Key responsibilities include conducting research, analyzing processes, identifying areas for improvement, coordinating/supporting ERP system, and implementing data-driven solutions.

Job Description:
The duties and responsibilities of this position are included, but are not limited to:

Strategic Planning & Process Improvement:

  • Plans and coordinates technology and process improvement initiatives related to all areas of responsibility.
  • Identifying areas for operational improvement and implementing data-driven solutions.
  • Responsible for the measurement and effectiveness of all processes (internal and external) within the area of responsibility.
  • Overseeing business practices, workflows, and organizational performance.
  • Recommends and assists in the implementation of new technology to maintain or improve the effectiveness and efficiency in collecting and processing payments and tracking compliance.


ERP System Configuration & Support:

  • Configures and maintains user roles permissions within the ERP system of the ERP system work streams.
  • Configures and maintains business processes among all functional workstreams of the ERP system.
  • Plans and coordinates any configuration/administration issues and/or training related to the ERP.
  • Assists with researching the ERP system’s user Community to troubleshoot and resolve system-related issues.
Business Analysis & Reporting:
  • Analyzes and documents business processes and applications to improve efficiency and/or effectiveness.
  • Monitors and evaluates impacts of new processes, applications and/or performance measures.
  • Gathers, interprets, analyzes, and communicates data for reports, studies, and recommendations.
  • Review change and enhancement requests and work with stakeholders to determine and assign priorities.


Compliance & Documentation:

  • Reviews statutory requirements and annual statutory changes to ensure that applications and policies are revised to comply with the law.
  • Develop, maintain and assist with implementing written policies, procedures, checklists, and necessary documentation relating to board services.
  • Operational Support & Stakeholder Engagement:
  • Interacts credibly and diplomatically with all levels of the organization and the local community, tailoring communications effectively for different groups and stakeholders.
  • Supports all board services department operations and ensures compliance with policies and procedures.
  • Providing professional, technical, and administrative support for board services.


Other Duties:

  • Performs related duties as required.


Education & Experience:

  • Bachelor’s degree in Public Administration, Business Administration, Information Systems, or a related field preferred. Will consider 4 years of relevant experience in lieu of degree.
  • Experience in business process management, workflow coordination, or systems configuration, preferably in a government, legal, or board services environment.
  • Prior exposure to ERP systems or other enterprise applications is preferred.
  • Experience with records management, document control, or knowledge management systems is desirable.


Knowledge, Skills & Abilities:

  • Knowledge of administrative processes, workflow design, and organizational best practices.
  • Concepts, system configuration, and database-driven application playform.
  • Ability to learn and apply ERP
  • Strong research and analytical skills to evaluate processes and recommend improvements.
  • Ability to create, maintain, and update documentation, workflows, and procedural guides.
  • Strong written and verbal communication skills, with the ability to explain technical information to non-technical users.
  • Skilled in Microsoft Office Suite (Word, Excel, PowerPoint) and comfortable with collaboration tools.
  • Ability to maintain professionalism, discretion, and accuracy in handling sensitive or official board records.
  • Ability to work independently, manage multiple projects, and meet deadlines.
  • Must dress and conduct oneself in a professional manner appropriate to a government office setting.
  • Commitment to confidentiality, accuracy, and compliance with applicable statutes, rules, and policies.


ESSENTIAL PHYSICAL SKILLS AND WORK ENVIRONMENT:

  • Walking, standing, or sitting for extended periods of time at a computer terminal.
  • Professional and appropriate behavior for an office environment.
  • May require stooping and bending.
  • Must be able to lift 25 lbs occasionally (once or twice a week).
